In order to arrange a system of efficient document control and automation of paperwork processes that can be achieved due to the appropriate complex software, NIBULON’s management decided to purchase and implement EWS “Megapolis. Workflow” that has rich history of implementation in different fields: state sector, industry, community facilities, etc. (developed by “Softline IT” Ltd.). In order to organize qualitative functioning of EWS, there were purchased licenses for the right to use this software; workplaces of registrars were equipped with up-to-date special equipment, namely a high-speed scanner, a printer to print registration number (bar-code). This fact proves that NIBULON uses only modern technologies in different sectors.
As an important component of doing business successfully consists in efficient informational and documentation support of NIBULON and also optimization of cooperation among structural divisions, the given EWS covers all stages of documentation life cycle – from preparation of drafts to organization of their storage ensuring functions of electronic archive and electronic digital signature. Besides, the software corresponds to all requirements to protect information technically both in Ukraine and abroad.
Advantages of EWS implementation at the company are the following:

Since July 01, 2014, at NIBULON’s structural divisions there has been held a step-by-step move to EWS. In order to adapt and ensure move to paperless workflow, there has been determined a transition period (up to 6 months) to coordinate work among services/departments at all levels in order to correct software settings and to adjust it to each structural division. At present, about 60 structural divisions consisting of almost 300 workplaces have been connected to EWS.
Due to EWS, a user has an opportunity to process documentation of different formats, including scanned documents, to look through documentation to which the author refers during document making; to create and follow an agreement route of own document project, and also to work with documents received by the company, etc.
Taking into consideration that the company has branched geography of structural divisions, due to EWS, the employees can efficiently process documents and make appropriate decisions on-line. This considerably extends their opportunities and enables to ensure efficient operation of the whole company.
Implementation of electronic workflow promotes not only work optimization of the company’s employees but also improvement of processes to exchange information, to make decision, etc.
Due to modern technologies development, the given version of the program “Megapolis. Workflow” is constantly updated depending on innovations in IT sector.
The company plans to implement EWS at its 39 branches located in 12 regions of Ukraine in order to ensure timely and efficient operation of the company.
